How often and in what ways should you communicate with the members of your forum in an off board style of communication?
Implementing the use of mass email and PM's could make or break a forum especially if it is new. Mass emails could be sent around once a month at most...or maybe even just once a quarter to reach members who may have signed up and then forgot about your forum or members who may have even forgotten about your forum totally. Yet you would not want to send mass emails too often because then some members might start considering it spam and might not want to come back to your forum at all then. Mass PM's could be made to advertise contests or other things that you might want everyone to read but you want to make sure that they notice the message instead of just posting it on your forum on a board that some members might not even visit when they come to your forum.
The mass communication systems can be very helpful to bring back long lost members or they might drive some away....how do you utilize these features of your forum?

I don't send mass emails very often, usually when I realease a new version, I am a member at many forums which send out mass emails twice a day, I send them out usually when a new version of the forum is realeased or we are having a member cleanout, just so members know whats going on.
Mass PMs, I use not that often but I still use them pretty often, when a new competition starts or something not that major but still important happens.

I mass PM'd on my forum quite a while ago. I can't remember what for, and I have emailed many members that made very little posts, informing them that their files would be deleted unless they posted.
I do have a Mass PM Mod system for me to inform them about happens. Although I have a Staff Member section, so I don't need it.

Most of the time, staff members stay distant from members, and they only worry about who's posting and who's not. It looks as though the staff members are just using users for the sake of a higher member count or something of the sort. I know that staff members can't make relationships with everyone, but it would be a good idea that if you send them a message introducing them to the site through PM's like a lot of message boards seem to do, maybe make it a little more friendly instead of professionally, and try to make friends with them through private messages? Look through their profile if they have messenger or ask if they have messenger where you guys might be able to chat outside the board. If they have e-mail, you could always e-mail them too. "E-mail" or "PM Pals" seem to help. I've seen this done on message boards and it really helps to create friends. After all, the point of the message board should be to get to know others that share similar or different passions, correct? It's not about how many members you have.
If ever there is a new update on the forum, I think it would be a good idea to send it out through e-mail to everyone because there may be members who are inactive. You can simply explain to the members who are active on the forum that this e-mail is for members who are inactive. I had to explain that to a member once. This does help members become interested in the forum. However, you also might want to add if they want these e-mails. They might not want these e-mails, and if they don't, it might be better to delete their account, but let them know?

I think it is a good idea as an admin that you make the attempt to get to know your members. Have an introduction thread, and make sure that you post a welcome message. It is always good to know a little bit of who is on your forum. A forum is only as good as its members that is to include staff. So it doesn't hurt to say "Hello, How are you? Tell us about yourself"
As for PMs, i find that these are a good way of communicating, however do not abuse this feature. Save it for announcements, or reminders, but do not make it seem like harrassement, This can be very off putting.
I love the email feature....I send out monthly newletters, biweekily reminders....and on accasion if I have a special announcement....
I think a chat for your members is a good idea, have like a online chat party...where new and old memebrs can get to know each other on an informal bases. Its a good way of relaxing the members and a good way to encourage them to participate more....
But when it comes down to it, you only get what you put into it. Can't expect the forum to run itself and be sucessful, it needs leadership, dedication and more of all afreindly and inviting atmosphere.

I can't believe I forgot to mention the chat idea. On role-play boards, it works great when you're planning scenes and getting to know other role-players. Messengers help things quicken the place a lot. I've seen one board become very successful because of it. Although, I realized that it would also help to have chats if they have messenger. I think I actually saw a code where you could install a chat on ProBoards... I'm not for sure though. I've seen message boards install those kind of chats. They pick a time and day for everyone to meet. I know that everyone has a time differences, which means the weekend would be the best time, or just letting them know ahead of time.
I'm not sure if this was just advice to give or a direction toward me. When I PM them, I never harrass my members, and I personally don't really use that feature for updates unless I really want to direct the members to an important thread. I actually heard this one member say that he missed it when the admin would PM him messages because that's how they got to know each other.
The problem is, when you do that you want to keep it up. If you are going to use this feature to get to know your members, of course it isn't expected to get to know every single member that joins your forum. Things just happen over time.

On my forum, I send a mail monthly to my members. The mail is named "The Month's Owl." In it I give all the details about what has happened and what will happen. I think sending such mails once every month helps members stay in touch with the forum.
As for PMs, I send them only if something very important is going on. I don't want to bombard them with many PMs as this wouldn't be admired.
I knew one administrator who was sort of "mail spammer". He used to send mails every week and dozens on PMs each month. This really got on the members' nerves and asking him to stop didn't have much effect. He said that he wanted no unactive member and wanted to keep the forum together. The result was that many members deleted themselves to avoid getting the stupid mails which came by the dozen.
Another thing I use is that I ask my members if I can add them on YIM or MSN. This helps me in staying in touch with them and this is really a good way to communicate. I can chat with them as long as they want and this is also a much better option against Chat Boxes like C-box or Say-Box.
So, as I said before if you just go on sending mass emails many times, can result in members deleting themselve or becoming inactive.

So far the only emails I've sent are to members who registered, then just disappeared. The only other time I would use the mass comm system is to notify them of a major change to the board, such as downtime for maintenance or a large event. Too much or pointless emails would just be annoying, and a lot of my members would add me to their ignore list if I did something like that. I talk to most of them on MSN or AIM anyway, so the mass comm system is just for major announcements.

There are a few things you can do to help new members feel welcomed and show your members your appreciation. Some are whenever you catch their birthday, make a thread about it, something nice for them. When new members register, you could send them a welcome pm and if they make a thread in the intro board, just welcome them and tell them a little about yourself and the forum. Ask them what convinced them to join for traffic reasons. Make threads that correspond to getting to know the members better, such as picture threads and "what was your latest job", etc...

I communicate with my members by two special boards: one in which they can make sugestions or ask anything which they might find confusing, and a board where staff asks members about problems that concern the board. I want them to feel that their opinion matters. I've send out mass PM's once, to announce that for a day the board will be put under Maintenance Mode as some changes were necessary to be made. Now I'm in doubts wheter I should send mass e-mails to the members in which to thank those who joined and ask the ones that didn't activate their accounts to do it, I want to draw their attention, to try and get them involved...

You are not their admin but another one of them. Your easy to talk to and friendly. And be careful of who you're choosing as staffs. If all they do is bossing people around and control their actions, you would demote them right away.

I mass email members once a year or so. It reminds old members that you are still there and its fun writing newsletters. You get to summarise the most interesting recent events and its a real challenge to compact it all down to a short page. I like to get fancy and add links. Funny stories are always a good idea. Remember that people want to be a part of a friendly and comfortable community. Nothing breaks the ice like humour.

I dont Mass email or PM very often, when I Mass email its about once every 6 months and its to notify users that dont get on anymore that im going to delete accounts if they are no longer active and When I mass PM its a News Letter type thing that the members write and send the info in to me, and I issue it as a news letter.
Other than the ocational mass pm/email I have one on one conversaitions with all my members. And I usually find no problems at all on my board.
