I have to agree that the Email all function can work effectively. I did that and several have returned...although for how long, I cannot say. I have used it once and I will probably only use it once a year or so to remind people that they need to be active or deleted. I think a year is plenty of time to be active on your own in an RP forum...unless they have made arrangements with me prior. I guess I will have to see how well it works. Otherwise, I just use the News Fader or Announcement idea because most of the information only affects ACTIVE users anyhow. I hate the thought of deleting hard won members. I would mass email more than once or twice a year. Reading your post made me think that sometimes, through no fault of anyone, a hard drive can fail or favourites can be lost and some members are unable to find you again. I know its not too hard to search on google etc. but a mass email might get some of these people back too.

On one forum, I don't delete unless it has been a few YEARS and no posts whatsoever. On an RP forum though, it seems like it is just padding the stats to have people counted that are not active.

Yes, on a Harry Potter board or other RPG board then I agree totally. It would be nice to have an active member count and inactive count and an overall total. Members could then be retained but prospective new members would get a true guide as to the state of the board.

I feel that it is very important to keep in contact with each member, make sure that they arent feeling left out, make sure that if they have any issues they are dealt with as soon as possible. I am open to suggestions, and by picking a few from members it makes them feel like they are a part of the forum, which is very important to me. I encourage my staff to look after members and make sure that they remain pleased with the forum.

Wow. Well at the proboard well I'm an administrator all the staff and members are extremely good friends. We communicate via PMs just for fun often we also chat on the board almost everyday if not every other day or so. I for one have had a conversation with all the active members. I only send out mass PM's and e-mails if we're going in maintenence mode or something big like that coming up. We have a fairly active community so we want to make sure everyone knows. As for the non-active members go. We just let them be basically. Everynow and then we have a nonactive member come back after many months of never logging in. We really only worry about the active ones. We try to treat new members just the same as old members though

I use version 4 and my members have requested by poll that PMs should not be allowed between them.
Is it possible to disable Private Messaging ?

How often and in what ways should you communicate with the members of your forum in an off board style of communication? Implementing the use of mass email and PM's could make or break a forum especially if it is new. Mass emails could be sent around once a month at most...or maybe even just once a quarter to reach members who may have signed up and then forgot about your forum or members who may have even forgotten about your forum totally. Yet you would not want to send mass emails too often because then some members might start considering it spam and might not want to come back to your forum at all then. Mass PM's could be made to advertise contests or other things that you might want everyone to read but you want to make sure that they notice the message instead of just posting it on your forum on a board that some members might not even visit when they come to your forum. The mass communication systems can be very helpful to bring back long lost members or they might drive some away....how do you utilize these features of your forum? like you already point out (mass) communication with forum members is a double edge sword, mass communicationi for one believe a mass e-mail should be send when: 1) there is a major forum change, could be design/theme 2) there is something for the member to gain (a event of some type) if you send too many messages you run the risk of people blocking your mail in there e-mail box, or people will complain on your forum about this.. this goes for mass communication on the forum or by e-mail ofcours.. one -to-one communicationwhen you send a message to a "unknown" member to warn/inform him or her and you do this too offen you your self (being your forum is big) will get spammed you self. and also then the line between a admin (bizniz) and "you" personally has changed..

I agree with what you said there about monthly emails. Back when my forum was more active I sent them out weekly, then fortnightly, then monthly. Now I send them out every 4-6 weeks & I'm wondering whether I really need to do that, because it used to bring people back, but now sadly it doesn't. I'm aware also that people change emails, don't activate their accounts etc, so is it really worth it?
